How to successfully begin your IEEE WebEx session<\/u><\/strong><\/p>\n

Webex Meeting Request Instructions<\/strong>:<\/strong><\/h3>\n

There are a few easy steps to this process, and the order of these steps must be followed to replicate success each time.<\/p>\n

Step 1:<\/strong>\u00a0 Click on the WebEx meeting link.\u00a0 This link is provided to you once your requested meeting has been created.\u00a0 The link will look similar to this: https:\/\/ieeemeetings.webex.com\/ieeemeetings\/j.php?ED=#########&UID=#########&RT=MiMxMQ%3D%3D<\/strong> =<\/strong><\/p>\n

Step 2:<\/strong>\u00a0 You will have to join the meeting as a participant.\u00a0 (Your Webex session will not be available to open until 15 minutes before scheduled starting time.)<\/strong><\/p>\n

Step 3:<\/strong>\u00a0 On the join screen you have the option of selecting your Audio preference.<\/p>\n

You can choose Computer or Call in (call back feature is not enabled)<\/p>\n

If selecting Call in, Webex will prompt you \u201conce you join the meeting<\/em>.\u201d<\/p>\n

You can now Join the meeting as a participant.<\/p>\n

Step 4:<\/strong> The Webex application will launch, and you will be notified that the host has not yet joined the meeting.<\/p>\n

Click OK.<\/p>\n

Step 5:\u00a0 <\/strong>\u00a0If you have selected to Call in, Webex will now prompt you with the call in information.<\/p>\n

Step 6: <\/strong>To claim Host privileges, click on the \u201cParticipant\u201d button at the bottom right of the window.<\/p>\n

Step 7:<\/strong> Click on the three (3) dots next to your name.<\/p>\n

Step 8:<\/strong> Click on “Reclaim host role.”<\/p>\n

Step 9<\/strong>: A window will open and will prompt you for the host key. If you are the meeting requester, you will have been given this key.<\/p>\n

Step 10:<\/strong>Once you\u2019ve reclaimed the host role, your name will then have \u201c(Host)\u201d written next to it.<\/p>\n

When the Participants Window is opened, you will see a Globe next to the Presenters name.<\/p>\n

To change the presenter, drag the Globe from your\/the presenters name to the new presenter.<\/p>\n

You will then be prompted to confirm this change.\u00a0 Select \u201cYes\u201d<\/p>\n

As Presenter \u2013 you also have the option of Muting \u201cAll\u201d <\/strong>Participants.\u00a0<\/strong><\/p>\n

Step 11:\u00a0<\/strong>To Share your Content\/Screens, etc.\u00a0 Select the \u201cShare\u201d on the bottom center icon list.<\/p>\n

The Share Content Screen selection will appear.\u00a0\u00a0 You can choose to select a specific Screen or Program.\u00a0\u00a0 Once chosen, that screen or program will open.<\/p>\n

You can choose to stop sharing your screen at any time using the floating top bar.<\/p>\n

Step 12:\u00a0 <\/strong>Record your meeting<\/p>\n

From the floating bar you can also select to start recording your meeting.<\/p>\n

To start recording, select Recorder<\/p>\n

It will show \u201cRecord in Cloud\u201d \u2013 Click on the red Record button<\/p>\n

Step 11b: <\/strong>Pause or Stop the recording at any time by selecting the Recorder button again.\u00a0 If you stop and then restart the meeting, it will record as two separate files.\u00a0\u00a0 Use pause to maintain one file.<\/p>\n

Once the meeting has ended, contact IEEE staff to obtain a link for your webex recording.\u00a0 We will then provide you with the information as soon as it is available.<\/strong><\/p>\n

Webex Webinar Request Instructions:<\/strong><\/h3>\n

There are a few easy steps to this new process, and the order of these steps must be followed to replicate success each time.<\/p>\n

Step 1:<\/strong>\u00a0 If you have requested the Webex Event option, you will be setup as a Presenter\/Panelist.\u00a0 The same link<\/strong> is used for both Attendees and Panelist.<\/p>\n

To start Event, click on the WebEx link provided to you.\u00a0 This will be sent to the requestor once your event has been created.<\/p>\n

Step 2:<\/strong>\u00a0 You will join the meeting as an attendee.\u00a0 (Your webex session will not be available to open until at least 15 minutes before scheduled starting time.<\/strong>)<\/p>\n

When you click on the link provided, Webex will recognize you as a Panelist.\u00a0\u00a0 You will need to enter the Panelist password which will be provided in the Webex setup sent you.<\/p>\n

Step 3:<\/strong>\u00a0 On the next screen, select Join event<\/strong>.<\/p>\n

Using \u201cAudio\u201d you can select audio option for you.<\/p>\n

Once you Join the Event, you will show as a Panelist.<\/p>\n

Step 4:<\/strong>\u00a0 Webex will notify you that the Host has not yet joined the meeting.<\/p>\n

Select OK<\/p>\n

You will now need to Reclaim the Host Key.<\/strong><\/p>\n

Step 5:<\/strong> Reclaim the Host Key:\u00a0\u00a0 Click on Participant on the upper menu bar.\u00a0 Select \u201cReclaim Host Role\u201d.<\/p>\n

If you are the meeting requester, you will have been sent this code.\u00a0\u00a0 Enter Host Role Key and select OK.<\/p>\n

Once you\u2019ve reclaimed the host role, your name will then have \u201c(Host)\u201d in the window.<\/p>\n

Step 6:<\/strong>\u00a0 Once you are the host, you can invite a Panelist (if they have not joined)<\/strong> using the more options menu.<\/p>\n

Or, they have already joined the Event as an Attendee, you can elevate them as a Panelist<\/strong>.\u00a0\u00a0 Find their names under the attendees list.\u00a0 Right click on their names to open selection.\u00a0\u00a0 Select \u201cMake Panelist\u201d.\u00a0 (Remember to select \u201cMute\u201d or \u201cUnmute\u201d Panelists on the bottom of the Attendees Screen as required.)<\/p>\n

Once upgrade has completed, the new panelist\u2019s name will appear in the Panelists area.<\/p>\n

Step 7:<\/strong>\u00a0 To Share Screen and Record, please follow from Step 10<\/strong><\/a> (page 5) on Meetings instructions.<\/p>\n

As in Meetings, Host and Panelists need to \u201cDrag\u201d Sharing Icon<\/strong> to make that person the presenter.<\/p>\n

Optional \u201cPractice Session\u201d<\/strong><\/p>\n

If requested in \u201cComments\u201d area of Webex Request Form, Events (Only) can be coded to open up to 60 minutes before the Scheduled Start Time in order to have a \u201cPractice Session\u201d.<\/p>\n

Click on \u201cmore Options\u201d and select Practice Session.<\/p>\n
