Tech Talk at a University with Invited Members
Before the Event
- Choose topic for Tech Talk that is related to student interests and/or local companies in the Section
- Find notable speaker(s) and determine availability
- Choose venue for expected number of participants (example below had approximately 150) and determine availability
- Based on speaker and venue availability, select date and time
- If choose to have food, determine any restrictions imposed by venue and approximate cost
- Determine amount to charge attendees. Keep cost low or free for students.
- Publicize! Send eNotice, post meeting on vTools, post on social media, coordinate with student chapter or class
At the Event
- An hour before the event, provide speaker with a name tag and ensure all microphones working.
- Half an hour before the event, open doors to event. Greet and provide name tags for attendees.
- Introduce speaker briefly.
- Conduct presentation. Leave enough time for questions.
- End presentation with slide about IEEE – point out things IEEE does that are relevant to the particular group – and leave on screen after thanking the speaker
- Thank everyone for attending at the end of the session.
After the Event
- Record attendance and meeting information in vTools
- Send thank you to speaker; ask if they have colleagues that might be able to provide a Tech Talk
- Thank student chapter advisor or professor as well as speaker for assistance
- Send short survey to students if desired, possibly including interest in other Tech Talks

Presenter: From local company that also collaborates with local university (biography of presenter provided to participants)
Location: Local university
Hosts: local Section, local HKN chapter, local Section LMAG, local university, local Section YP
Food: Available at the end of the talk paid for by the local Section.
