Set-Up

• Brainstorm ideas for scholarship themes and criteria
• Compare ideas to those that already exist at https://students.ieee.org/membership-benefits/ieee-benefits/funds-and-awards/
• Choose your theme and criteria, considering filling a gap for the students in your Chapter or Section that is not currently covered by IEEE
• Choose the amount (see MGA Operations Manual, Table A), frequency, and other monetary attributes of the scholarship
  • Identify source of funding, such as a conference surplus, and how to maintain funding. Note:  According to IEEE policy, funds derived from IEEE and Society member dues and fees, and organizational unit rebates shall not be used for scholarships, fellowships and other educational awards.
• Determine composition of selection committee, how chosen, and term limits, such as four core chapter/section officers with 2-year limits chosen by election
• Follow the current MGA Awards Approval Process – https://mga.ieee.org/awards/award-approval-process
• Determine how to collect applications. Web-based tool, OpenWater, is suggested

Publicize

• Determine timeline or frequency for publicizing the scholarship and its deadline
• Publicize at chosen outlets, which may include:
  • eNotice to Student chapters in your section / chapter
  • Coordination with your student branch chair
  • Social media
  • http://students.ieee.org
  • Section/Chapter website

Select

• Committee chair should distribute applications to committee via approved IEEE methods
• Committee should review and score applications according to award criteria
• Committee meets (in-person or Webex) to discuss scores and resolve any ties
• Notify candidate who won and receive acceptance before notifying others
  • If candidate does not accept, repeat process with selected runner-up if applicable

Award

• Present scholarship at Section/Chapter event, such as annual awards ceremony
• Ensure Section/Chapter treasurer collects necessary information for reporting – IEEE Finance Operations Manual and IEEE Scholarships
• Publicize list of past scholarship winners on Section/Chapter website
